Parent‑Friendly Communications Code of Conduct


Elmbridge Eagles communication groups exist to organise rugby activities and support the team environment. Parents and volunteers are expected to communicate respectfully and avoid sharing private or sensitive information in group chats.

WhatsApp groups are intended for club matters and logistical updates only. Private, medical, safeguarding or complaint-related matters should not be discussed in group chats. These should be raised directly with the relevant coach, team manager or the Club Welfare Officer.

This simple guide helps ensure communication on our Spond and WhatsApp platforms stays positive, safe, and respectful.

 

  1. Be Respectful
  • Speak to others as you would like to be spoken to.
  • No swearing, insults, or negative comments about players, coaches, referees, or other parents.

 

  1. Keep Chats Relevant
  • Use Spond for attendance and match information.
  • Use WhatsApp only for quick updates.
  • Avoid off‑topic conversations that clutter the group.

 

  1. Protect Privacy
  • Do not share screenshots of group chats.
  • Do not post personal information about other families.
  • Do not share photos of children without consent.

 

  1. Safeguarding Comes First
  • Do not message coaches privately about junior players.
  • Report concerns directly to the Club Welfare Officer - jane@elmbridgerl.com or her deputy damianb@elmbridgerl.com
  • Do not discuss safeguarding issues in group chats.

 

  1. Be Supportive
  • Remember that coaches and managers are volunteers.
  • Keep communication constructive and solution‑focused.
  • Encourage players and promote a positive club environment.

  • No late‑night messaging unless urgent.
  • No sharing of medical or sensitive information in WhatsApp groups.
  • Use direct email or phone contact for confidential matters.
