Social Media Policy


 

  1. Purpose

This Social Media Policy sets out how Elmbridge Eagles Rugby League Club (“the Club”) expects players, parents/guardians, volunteers, coaches, and supporters to behave when using social media in connection with the Club.

 

The purpose of this policy is to:

  • Protect children, young people, and vulnerable adults
  • Maintain the reputation of Elmbridge Eagles
  • Promote positive communication
  • Prevent misuse of online platforms

 

This policy applies to all social media platforms, including but not limited to: Facebook, Instagram, X/Twitter, TikTok, YouTube, WhatsApp, Spond, and any other online communication channels.

 

  1. Official Club Accounts

Only authorised committee members may operate official Elmbridge Eagles social media accounts.

 

Official accounts will be used for:

  • Club announcements
  • Match reports
  • Promotional content
  • Community engagement
  • Recruitment and events

 

No personal opinions should be posted from official accounts.

 

  1. Safeguarding Principles

Safeguarding is the Club’s highest priority. Therefore:

  • No direct messaging between coaches and junior players is permitted.
  • All communication with under‑18s must go through parents/guardians or via Spond.
  • Photos of junior players will only be posted with prior consent.
  • No identifying information (full names, school names, addresses) will accompany images of juniors.
  • Any safeguarding concern must be reported to the Club Welfare Officer, not discussed online.

 

  1. Behaviour Expectations for All Members

Everyone associated with Elmbridge Eagles must:

  • Communicate respectfully and positively
  • Avoid abusive, offensive, or discriminatory language
  • Not post content that could bring the Club into disrepute
  • Not criticise referees, opposition teams, or volunteers
  • Not engage in arguments or confrontations online
  • Not share confidential or sensitive information

 

Remember: You represent the Club even when posting on personal accounts.

Posting Photos and Videos

  • Consent must be obtained before posting identifiable images of players.
  • Parents/guardians may withdraw consent at any time.
  • No photos should be taken in changing rooms or medical areas.
  • Live streaming of junior matches is not permitted unless authorised by the Club.

 

  1. Use of Personal Social Media Accounts

Members may post about the Club on personal accounts, but must:

  • Be respectful and accurate
  • Avoid posting internal disputes or complaints
  • Not share screenshots of private group chats
  • Not tag or identify junior players without consent
  • If in doubt, don’t post.

 

  1. Reporting Concerns

If you see inappropriate content involving the Club:

  • Do not respond publicly
  • Take screenshots if safe to do so
  • Report it to the Club Welfare Officer or Club Chair
  • If necessary, report to the platform (e.g., Facebook, Instagram)

 

  1. Breaches of This Policy

Breaches may result in:

  • Removal from Club social media groups
  • Temporary or permanent suspension from the Club
  • Reporting to the RFL or safeguarding authorities
  • In serious cases, police involvement

 

The Club will always prioritise the safety and wellbeing of children.
